Terms and Conditions.
Please do read these Terms and Conditions before you decide to book with us.
Opening Dates for 2021:
We are open from Friday 30th July to Monday 30th August
Booking:
You are welcome to book at any time by using the online booking platform – which you can find here: book now
Alternatively you can also phone or email us to discuss your requirements and we can make the booking for you.
Once you have made your booking we will send you a confirmation and you should check it as it is the basis of our contract with you.
If you see any mistakes in our confirmation please contact us straight away and we will do our best to make the changes you require.
You can book with us for any duration except for the bank holiday weekend.
For this bank holiday weekend you will need to book for a minimum of three nights (Friday 27th through to Sunday 29th).
We welcome all tents as well as trailer tents, camper vans and motorhomes and your booking needs to correctly specify which of these you will be using.
Please note that there are no electric hook-ups at Chapelfield.
Unfortunately we are also unable to provide wheelchair access shower or toilet facilities.
We will do our best to accommodate any changes that you wish to subsequently make to your booking but cannot guarantee that we will always be able to provide this flexibility.
Coronavirus Guarantee:
We will be providing a Coronavirus Guarantee for the 2021 Season which will operate as set out below.
Payment:
At the time of making a booking you will be required to pay a Deposit Payment of 30% of your booking value.
The Balancing Payment will be due no later than 30 days before your arrival date.
You will be sent an email reminder around 33 days before your arrival date to make this balancing payment.
Cancellation Policy:
For bookings that are cancelled under the terms of the Coronavirus Guarantee then we will allow you to re-book alternative dates as long as we still have space. If your re-booked accommodation is only available at a higher price then we may charge you any extra that arises.
If no alternative dates are available or do not suit your needs then we will offer you the option of re-booking in 2022.
If you decide to not accept any of the re-booking options then we will not refund your Deposit Payment but will refund any Balancing Payment that has been made by you to us.
No refunds will be made in respect of any other bookings that are cancelled by you.
If, for any reason, we are unable to provide your holiday accomodation then we will endeavour to reschedule alternative dates with you either in the 2021 season or, if that is not possible, the 2022 season.
If this is not acceptable to you then we will retain your Deposit Payment but will refund any Balancing Payment that has been made by you to us.
Arrivals and Departures:
You may arrive at Chapelfield from any time between 12.00 and 21.00 on your due arrival date. Someone will always be at Chapelfield to welcome you.
We would appreciate it if you could tell us your approximate arrival time in the notes section when making the booking.
We ask you to depart by 11.00 on your departure date.
We are sorry but we do not offer refunds if you decide to depart sooner than your due departure date.
Pitches:
We provide designated pitches which will be approximately 10m squared.
We have an area set aside for singles and couples (best for adults only) whilst the remainder of the pitches are for families.
We will accept a maximum of 6 people on each family pitch (of whom a maximum of 3 may be adults).
We will also accept bookings that require up to 3 pitches (i.e. up to a maximum of 9 adults) and will do our best to allocate adjacent pitches (which may have defined 'non-occupancy' gaps between them) for these groups.
Pitch occupancy and all other activity of our guests whilst at Chapelfield must comply with all current guidance or rules set by the government or other relevant authority.
Due to the peaceful nature of Chapelfield we do not accept larger groups of adults or stag and hen parties.
Each pitch will have space for one vehicle and there will be some space elsewhere in Chapelfield to park additional vehicles at an additional charge of £5 per vehicle per night.
If you use an area that is larger than your pitch then we may charge you for the additional pitch space that you are occupying.
Dogs:
Dogs are welcome provided that they are well-behaved and on a lead at all times. Dogs may not be left alone at any time. All owners must take responsibility for all of their dog’s activities including leaving Chapelfield in a good clean state!
Camper Vans and Motorhomes:
We are happy to accommodate both campervans and motorhomes either of which may also have awnings so long as they fit within our designated pitches.
We do not charge a supplementary amount for campervans and motorhomes.
We are not permitted to have caravans at Chapelfield.
Behaviour and Noise:
The use of foul language, threatening behaviour or vandalism will not be tolerated at Chapelfield.
There is a no music or radio policy at Chapelfield so as to maintain a peaceful place for all of our guests.
We also operate a quiet policy after 23.00 each evening.
Any infringement of these rules may result in all members of a party being required to leave immediately. No refund will be given.
Fires:
Fires are only allowed in fire pits.
We will have fire pits / barbecues available for hire as well as logs and charcoal.
We ask you to let us know if you wish to hire a fire pit in the notes section when making your booking.
Agreement to these Terms and Conditions (T&C):
In making your booking you are agreeing to these T&C.
Any person in breach of these T&C may be asked to leave Chapelfield with no refund.
We are entitled to refuse admission if we think it is necessary.
We also reserve the right to alter your pitch allocation should the weather have caused the ground to be unsuitable for your unit.
If events outside of our control prevent us from being able to fulfil your booking at Chapelfield then we will do our best to offer you alternative dates or a refund of any Balancing Payment that you have made to us.
We reserve the right to amend these Terms and Conditions at any time and they are binding upon all clients of Chapelfield Camping.
Liability
Nothing in this section limits or attempts to limit our liability for:
Subject to the matters detailed above, if we fail to comply with these Terms, we shall not be responsible for any losses that you suffer as a result, except for those losses which we could reasonably foresee would result from our failure to comply with these Terms.
In addition to the above, we shall not be responsible for any:
Our maximum liability shall be no more than to refund the amount paid by you for the holiday.
As our site is located in the forest environment, we do not accept responsibility for any damage, injury or inconvenience caused by plants or wildlife.
Chapelfield Camping do not accept responsibility for anything that adversely affects your holiday that is outside of our control. These circumstances are known as ‘Force Majeure’ events and are circumstances that Chapelfield Camping could not, even with due care, have foreseen or avoided. Such circumstances include (but are not limited to) war, civil unrest, industrial action, terrorist activity, natural disaster, fire, adverse weather conditions, foot and mouth disease and all other similar events outside of our control. Chapelfield Camping will endeavour to manage any problems caused as a result of a Force Majeure event but shall be under no obligation to do so and shall not be liable to you for any losses caused by a Force Majeure event.

This policy (together with our ‘Terms of Use’ and any other documents referred to in it) describes how we collect and use your personal data during your use of the Chapelfield Camping website www.chapelfieldcamping.co.uk (the ‘website’) in accordance with the General Data Protection Regulation (GDPR) and related UK data protection legislation.
Chapelfield Camping is the “data controller" for the information that we collect when you visit the website. This means that we decide how to use it and are responsible for looking after it in accordance with the GDPR.
